Sandra(treasurer) presented revenue and expenses for the year and identified over $24k in all accounts . With the large expense for the well installation in 2024, we show a loss of $1741.78 for the year.
Paul motioned to research and contract a design engineer to draw up plans for the washroom and septic location so that the plans can be approved by the town ahead of foundation modifications. Motion by Patti to approve Whitehall's quote to fix foundations once designs have been approved by municipality. Blue water tank will be removed in the spring at no cost.
Parking lot snowplowing for the winter season was contracted by Garnet Sansell (Envision Mgmt) Peter Andrews has volunteered to shovel the walkways.
Motion by Patti to change rental fees to $75 with $100 damage was approved and carried. Discussion that rental groups have their own insurance. Motion by Sandra to approve rental by Yoga retreat (past renters) June 14-22nd ,2025. seconded by Tracy

Hall Maintenance
1) Metal to be placed on Kitchen Roof was identified by John as not vital
2) Well is currently being dug, with support from Mark Little and John Petersen. Tracy motioned that Mark Little be able to contact an electrician and authorize up to $500 in electrical work needed to ensure safety in the Hall
3) Foundation – Joyce has had Whitehall come in to estimate costs to create/improve the support of the foundation of the hall. It was agreed that we would first obtain an electrical estimate for work needed before proceeding on a decision regarding the foundation
4) Siding (will wait for grants before proceeding)
5) Septic system- will require building expansion for a washroom before spending money on the septic. This becomes a combined project and additional grants should be explored
6) Security – adding motion sensor lights to electric upgrades was discussed
7) Grass cutting – Doug Hunt offered to cut the grass and it was agreed that the Hall would extend the same offer of $100/year to offset gas costs that Denny Hare was given.
New Business
Joyce indicated there was space available at the McKellar Fall Fair for the Hall to promote itself, accept donations and memberships. Joyce identified the need for 4-6 people to volunteer time to man a table and Joyce would take care of materials.
Tracy identified that the Hall was placed on a boil water advisory due to its water test sample and that with the well we will need to have the Health Unit come in again. Also suggested the need to create a rotating cleaning volunteer sheet. Denise said she would come in on the 25th with Tracy and Peter Andrews to clean before the concert and the breakfast. Tracy to create a signup sheet for cleaning for next season.

TREASURER'S REPORT - Sandra Little presented the year-to-date report of revenue and expenses as of July 31,2023 along with highlights for financials.
GOFUNDME RESULTS- ONLY MINIMAL RECENT ACTIVITY on account and it was discussed about pausing it after the September long weekend. and restart in the new year. YARD SALE AND BOTTLE DRIVE WERE VERY SUCCESSFUL. One more bottle drive and yard sale coming in the next two months.
RENOVATIONS UPDATES
Back Roof Repair - Denny still needs volunteer assistance to put the metal sheeting on the back roof which needs to be done before winter.
Foyer - Julie is currently investigating what kind of paint we can use to paint the siding. using a paint sprayer and hopefully this can be done before the end of august. We will need a quote and approval to proceed.
GRANT We happily received a $1600 grant for improvements to sloped/rocky entrance and building ramp and regrading/leveling the parking lot/driveway. The wheelchair ramp will be updated by a local contractors Tony Haskim and Josh Tiffany will complete the work in the next couple weeks, before open house , at a cost of $2500 plus tax. The grant money will be used for this upgrade and the club will put in the rest of it.
ONTARIO TRILLIUM FOUNDATION Capital grant application has been submitted by Sandra Little and won't know until Sept/October
Fundraising/Building Fund - It was noted that with the various donations and the return from events is putting the hall a lot closer to its goals of upkeep and residing. Currently the well drilling is part of the Trillium Grant app. It was suggested that we get quotes from local suppliers for rock work to be done the foundation and the siding.Joyce Hopkins said she will contact local stone mason, Jim Whitehall, and have him contact Denny to look at job and present quote. We discussed having a fundraising campaign to cover the potential costs for doing the siding and foundations work. Denise LeClair suggested making a "progressive thermometer" sign to place at the front of the hall so the community can see our progress. Julie Hare will reproduce the sign on a poster to be put o the various social media sites to help kickstart the promotion.
Hurdville website We have launched an "in progress" version and Denise LeClair has been working to keep the new site up to date and informative. We are going to include more history and the euchre results from each week. Steve Macdonell is trying to finalize the site asap
PAST EVENTS - JULY 2nd PANCAKES- This was a HUGE success! We changed the day from Saturday to Sunday, so we didn't conflict with Mckellar market, and it was a welcomed change. We had 186 ppl at the brekfast adn we ran out of food/supplies ( We only had purchased enough for 140) We discovered a few church groups came in after the service. We will continue to use Sunday in the future.
RIBFEST - A big Thank you to all who volunteered and participated in th July 9th event We did experience a few glitches but overall, it was a success, and everyone enjoyed the live music and of course the food and beer . Follow up meeting is August 19 at Hurdville Hall
YOGA RETREAT another success for the hall and the participants. The hall was left clean and respected. We would consider renting to this group again.

We sadly received and acknowledged a letter of resignation from Rob Tait , from the Hurdville Community Club Board of Directors
The Lions Club offered to sell us the remainder of non-perishables from the Aug 5th- 150th event . We accepted and paid $50 and the supplies will be used at our upocoming open house
AUG 12 OPEN HOUSE, BBQ and PEACH SOCIAL 11am-2pm We discussed the requirements for this event. Patti Waddle has volunteered to make several large pans of Peach Cobbler. Denny will shop for burgers and hotdogs, juice drinks , ice, paper plates,bowls and wooden spoons. Denise will be contacting volunteers.
Morley Haskim has offered to loan us 5 picnic tables for this event..He will deliver and take away. We requested to use the Rec committee's BBQ
Cheque Presentation - 12 noon AUGUST 26 Greg Antuchiewicz will present a cheque for $3200 to the hall from the annual golf tournament that was held July 22 at the Ridge of Manitou GC This will also be a photo shoot which will be published in the newspaper and on the website. Joyce Hopkins has agreed to photgeraph and will publish in her newspaper column . The monies will go towards the building fund.

Treasurer's Report – Sandra Little submitted a report showing the Revenue and Expenses as of May 31,2023., showing a balance of $4186.69 in the account. There was a receipt of $1600 from the McKellar Community Donation Grant which is to be used to upgrade the wheelchair access area at the front of the hall. There was a donation of $500. from Peter and Kathryn Loch. The GOFUNDME account raised $1538.18 to date. Sandra Little motion to approve the Treasurer's Report. Julie Hare seconded the motion. All in favour.
Ongoing Maintenance John Peterson has donated a roll of metal sufficient to repair the back roof. Work will be done when a couple of volunteers are available. Kitchen was painted i May by several volunteers. Thank you for their hard work and a job well done.
Upcoming Events
Pancake Breakfast July 2nd. This will include a yard sale and bottle drive. Denise LeClair will be recruiting volunteers for this event-kitchen, yard sale setup and take down.
McKellar Ribfest Sunday july 9 The Hurdville Community Club has been entered as one of the4 competitors for this event and the sauce recipe handed out for the directors to make and try and report back to Julie Hare as to taste. Volunteers aare needed for this event and there will be two donated BBQs to use from Judy Grant and Patty Waddle, The volunteers will be needed for cooking the ribs, runners between bbq and kitchen for serving. Mannin an information table. The workers will be required to be at the Mckellar Community Centre from 2-8pm to set up , cook, take down, Denise LeClair will be recruiting volunteers. We have also been asked to donate Pies to the kitchen for the dinners and they can be dropped off Saturday before the event or Sunday morning of the event. We ask the membership for pie donations.
Each competitor has been asked to donate an item to be part or the silent auction with proceeds going to harvest share . It was suggested that we could provide a new grill land put a note on it saying "donated by the Hurdville Community Club, home of the Pancake Breakfast" A motion made by Judy Grant to purchase the grill and seconded by Sandra Little. All in favour Joyce Hopkins suggested we purchase Chef Hats for thsi event and put a banner on the "Hurdville Community Club-Home of the Pancake Breakfast."
McKellar Pancake Breakfast Sunday July 30
We will be expecting to serve upwards of 400 breakfasts at this event. The Hurdville Community Club will be paid a set amount for each breakfast ticket submitted so will be a major fund raiser for the club. We will need volunteers for the kitchen to cook, operate dishwasher, setting up and maintaining condiments tables, serving, James McMurdo will also be working with the volunteers in the kitchen. WE will require 2 x 100 cup coffee urns, a tea urn, and it has been decided to use the glass dishes and cups from the community centre rather than paper and rely on the dishwasher to keep up. Denise LeClair will be recruiting volunteers.,
Hurdville Open House and BBQ -Aug 12
We are planning an Open House and BBQ (hamburgers and hotdogs) from 11am-2pm We will be celebrating two anniversaries on this day Hurdville Hall 125th and McKellar's 150th We will require a Guest book for the attendees to sign. Joyce Hopkins will have a poster made and provide an event flag. It was suggeste4d that some of the Hall history can be depicted in the binders on tables, along with the framed photographs on the walls . Denise LeClair will be recruiting volunteers.
Yard Sale - Aug 19 This is a yard sale only event and will require volunteers for set up and take down . Denise LeClair is on it.
Website - Denise LeClair/ Steve Macdonell of the MLCA have been working on the new website. Denise provided a link to the site . sites.google.com/view/hurdvilleca It was suggested that you provide Denise with as much info to help build the site, ie . pictures, events, articles etc
Grant Applications
McKellar Grant- Sandra Little advised that we submitted a grant request with Mckellar for $3000, and was awarded $1600 for the rebuild of the wheelchair access area. It was suggested that Denny Hare contact Calvin Fisher ad Mike Campbell for cost estimates for the job
Trillium Grant -Sandra Little is currently working to complete the application for this grant which will go towards the drilled well and septic system. Sandra noted she will require a copy of the minutes authorizing her to apply for and submit application to the Trillium foundation on our behalf. A motion was made by Julie Hare to authorize Sandra to prepare and submit the application. Joyce Hopkins seconded. All in Favour.
General Discussion
Joyce Hopkins suggested we contact Mike Kekkonon about the Historical Society's choice for siding for the Hemlock Church. Joyce noted that it was a wood grain look vinyl that would be ideal for the hall. We would need to know the cost and footage. Julie Har will contact Mike.

Call Meeting to order at 1:00 by Chairman, Denny Hare Denny welcomed everyone to the meeting and noted that we had sent out copies of the previous General Meeting Minutes from September 17, 2022 for you to look over prior to this meeting. Treasury Report – Sandra Little gave everyone an overview of the financial statements for the club for 2022. She also did an overview of the 2023 year income and expenses as of April 2023. Gail Donnelly asked what the taxes are the year ($700) and paid in 4 installments to McDougall Township. Rob Tait asked if his final bottle drive proceeds ($156) were recorded in the 2023 income statement. Motion to accept Treasurer’s Report by Lynn Mitchell and seconded by Denise Leclair.
Membership - DUES ARE NOW DUE We had 36 members that joined the Club for 2022 and we are now collecting dues for 2023. Your dues go toward helping pay the expenses of the Hall like hydro, water, etc. so it is important that we receive the funds as soon as possible. Hall Business Health Department – We are in the process of having the Health Unit review our submission for permits to operate the Hurdville Community Club facilities and have our permits to continue to host our Pancake Breakfasts and any other events we may be considering. There are new procedures in place for the water testing which is an integral part of the permit action. This water testing is to be done by a private lab and will cost $75 every two months. There will be an annual checkup by the Health Unit. Julie Hare and Denise Leclair have completed the Food Management Course which was a requirement of the Health Unit to become a registered “Country Kitchen”. Judy Grant will be applying for her certificate in the very near future. Rob Tait asked how much water the blue tank holds (1,000 gallons) and the cost (approx. $445)
Website - Develop new Hurdville Hall website ‘hurdville.ca’ – Denise Leclair/ Steve Macdonell of the MLCA was introduced and he explained that there is some thought that has to go into designing the website “hurdville.ca” with drop down menus for direction pointing to the various windows of interest on the site. Patti Waddle asked if there will be a contact list on the site and it was suggested for members only similar to the MLCA site. It was noted that Steve has been instrumental in moving us ahead with the new website and will be working closely with Denise Leclair and Rob Tait to get it up and running – target is currently the end of May. A special thank you was given to Steve for his offer to assist the Club with the website.
GO Fund ME – Rob Tait explained that the Gofundme site for the Hurdville Community Club is up and running and has already had two deposits from donations on the site. It has been requested that when you go on the site that you share it to encourage donations. Rob is currently waiting for the website to be up and running so that he can include the information for the gofundme on the site. There has been an interview with the Parry Sound Northstar regarding the gofundme and the Hurdville Community Club and a story should be published by May 2nd or 3rd . We are also going to be approaching the MooseFM radio station in Parry Sound to have them do a live broadcast at our pancake breakfast on July 2nd .
Fundraising – the current events are: Pancake Breakfasts Yard Sales Musical Concerts Beer Bottle Drives Donations Hall Rental Patti Waddle suggested having a Peach Social which could be by freewill donation as our other events. It was discussed incorporating this with the August 12th -125th Anniversary Open House & BBQ which will also be by freewill donation. A motion was made by Patti Waddle and Seconded by Rob Tait to change the charge for food at the August 12 event to a freewill donation event. A motion was made by Patti Waddle to accept the change for this event and seconded by Sandra Little. Do you have any ideas for fundraising that we haven’t tried yet – if so please don’t hesitate to let us know about them.
Picnic Tables - We are in need of several used in good condition picnic tables for the grounds at the Hurdville Community Club. This would be a welcome addition for anyone wanting to use the grounds. RIBFEST – July 9 – at McKellar Community Centre This venue for the 150th McKellar is a community event as well as a competition for the best ribs in McKellar Township. Members of the Hurdville Club will be participating as competitors at this event and we will be looking for volunteers to help make this a winning event for the Club! Joe Toste has volunteered to work at this event. BBQ’s have been offered from Judy Grant and Patti Waddle. 5 It is expected that we will need at least ten volunteers. The jobs would be cooking ribs; runners from kitchen to BBQ stations to deliver ribs for cooking and to kitchen with cooked ribs for distribution; manning the table to promote the Club; setup for tents and BBQ’s and cleanup; and various other jobs. Community Safety Zone – This is relating to the need for speed signs throughout the McKellar community which will reduce the speed of drivers in the community. Discussed the request for support from Deanna Jackson of McKellar and it was decided that the Hurdville Community Club will send a letter of support to Deanna. A motion was made by Rob Tait and seconded by Denise Leclair to send the letter.
Hall Rental – Judy Grant has requested to rent the Hall for June 25th and July 15th at a fee of $60 per date. All voted in favour of the rental. Sandra Little will send a Contract to Judy to sign.
Grant Applications – Sandra Little explained that we have applied for grants both from the Trillium Foundation and Hydro One Safety and have not been successful. We are going to reapply for these grants in 2023. They did respond with suggestions which might help in the application to give us a chance at acceptance. A grant application has been submitted to McKellar Township, with no decision made yet.

Treasurer's Report – Sandra Little submitted a report showing the Revenue and Expenses as of May 31,2023., showing a balance of $4186.69 in the account. There was a receipt of $1600 from the McKellar Community Donation Grant which is to be used to upgrade the wheelchair access area at the front of the hall. There was a donation of $500. from Peter and Kathryn Loch. The GOFUNDME account raised $1538.18 to date. Sandra Little motion to approve the Treasurer's Report. Julie Hare seconded the motion. All in favour.
Ongoing Maintenance John Peterson has donated a roll of metal sufficient to repair the back roof. Work will be done when a couple of volunteers are available. Kitchen was painted i May by several volunteers. Thank you for their hard work and a job well done.
Upcoming Events
Pancake Breakfast July 2nd. This will include a yard sale and bottle drive. Denise LeClair will be recruiting volunteers for this event-kitchen, yard sale setup and take down.
McKellar Ribfest Sunday july 9 The Hurdville Community Club has been entered as one of the4 competitors for this event and the sauce recipe handed out for the directors to make and try and report back to Julie Hare as to taste. Volunteers aare needed for this event and there will be two donated BBQs to use from Judy Grant and Patty Waddle, The volunteers will be needed for cooking the ribs, runners between bbq and kitchen for serving. Mannin an information table. The workers will be required to be at the Mckellar Community Centre from 2-8pm to set up , cook, take down, Denise LeClair will be recruiting volunteers. We have also been asked to donate Pies to the kitchen for the dinners and they can be dropped off Saturday before the event or Sunday morning of the event. We ask the membership for pie donations.
Each competitor has been asked to donate an item to be part or the silent auction with proceeds going to harvest share . It was suggested that we could provide a new grill land put a note on it saying "donated by the Hurdville Community Club, home of the Pancake Breakfast" A motion made by Judy Grant to purchase the grill and seconded by Sandra Little. All in favour Joyce Hopkins suggested we purchase Chef Hats for thsi event and put a banner on the "Hurdville Community Club-Home of the Pancake Breakfast."
McKellar Pancake Breakfast Sunday July 30
We will be expecting to serve upwards of 400 breakfasts at this event. The Hurdville Community Club will be paid a set amount for each breakfast ticket submitted so will be a major fund raiser for the club. We will need volunteers for the kitchen to cook, operate dishwasher, setting up and maintaining condiments tables, serving, James McMurdo will also be working with the volunteers in the kitchen. WE will require 2 x 100 cup coffee urns, a tea urn, and it has been decided to use the glass dishes and cups from the community centre rather than paper and rely on the dishwasher to keep up. Denise LeClair will be recruiting volunteers.,
Hurdville Open House and BBQ -Aug 12
We are planning an Open House and BBQ (hamburgers and hotdogs) from 11am-2pm We will be celebrating two anniversaries on this day Hurdville Hall 125th and McKellar's 150th We will require a Guest book for the attendees to sign. Joyce Hopkins will have a poster made and provide an event flag. It was suggeste4d that some of the Hall history can be depicted in the binders on tables, along with the framed photographs on the walls . Denise LeClair will be recruiting volunteers.
Yard Sale - Aug 19 This is a yard sale only event and will require volunteers for set up and take down . Denise LeClair is on it.
Website - Denise LeClair/ Steve Macdonell of the MLCA have been working on the new website. Denise provided a link to the site . sites.google.com/view/hurdvilleca It was suggested that you provide Denise with as much info to help build the site, ie . pictures, events, articles etc
Grant Applications
McKellar Grant- Sandra Little advised that we submitted a grant request with Mckellar for $3000, and was awarded $1600 for the rebuild of the wheelchair access area. It was suggested that Denny Hare contact Calvin Fisher ad Mike Campbell for cost estimates for the job
Trillium Grant -Sandra Little is currently working to complete the application for this grant which will go towards the drilled well and septic system. Sandra noted she will require a copy of the minutes authorizing her to apply for and submit application to the Trillium foundation on our behalf. A motion was made by Julie Hare to authorize Sandra to prepare and submit the application. Joyce Hopkins seconded. All in Favour.
General Discussion
Joyce Hopkins suggested we contact Mike Kekkonon about the Historical Society's choice for siding for the Hemlock Church. Joyce noted that it was a wood grain look vinyl that would be ideal for the hall. We would need to know the cost and footage. Julie Har will contact Mike.
Morley Haskim said he will loan the Hall 5 picnic table for Aug. 12 Open House . We will need to send a Thank you to him
Sandra Little asked if a donation plague should be put in a frame of donations fo $500or more. Julie Hare made a motion Joyce Hopkins seconded . All in favour Julie Hare wa asked to contact Jan Gibson for the Mckellar market to put a poster up about the july 2 pancake breakfast.

Joyce Hopkins advised that the McKellar Garden Club will have a couple of people i the yard at the hall on July 9 11am-2pm to sell tickets for garden tour

Meeting was called to order at 1:10 by Denny Hare.
Denny welcomed everyone and advised that a copy of the previous General Meeting Minutes from June 18, 2022 had been sent by email for you to look over. If there are any errors or omissions, please let us know. Approval of Agenda There were no additions or deletions to this agenda. Motion to approve agenda by Rob Tait and seconded by Patti Waddle.
Treasury Report – Sandra Little provided a financial statement as of September 6, 2022. Membership to date is 37 members. Gail Donnelly asked if there was going to be a membership drive in the near future. All were asked to submit ideas on how this could be accomplished. Ideas could be sent to Julie Hare via email at juliehare436@gmail.com or by Messenger.
Liz Hugli asked when memberships needed to be renewed and May 2023 was selected. Judy Grant asked if the membership dues would be increased and was advised that there is no plan for an increase.
Bottle Drive - Rob Tait advised that we earned $400.00 from the bottle drive at the Sept 3 pancake breakfast and expects to get another $100.00 from drop offs still to be sorted. Thanks Rob and team for all of your hard work. Judy Grant asked why there is a difference in the amounts for the May bottle drive on the financial statement – with one amount being $309.90 and another at the bottom of the page as 289.90. Hall Business Health Dept – We are pleased to announce that the Health Unit has passed the Hurdville Community Club facilities to become a registered “Country Kitchen” and we have our permits as well to rent the hall. There will be an annual checkup by the Health Unit. Julie Hare and Denise Leclair have completed the Food Management Course which was a requirement of the Health Unit and Judy Grant will be applying for her certificate in the very near future.
Fundraising – Currently we are relying on our Pancake Breakfasts, Yard Sales, Musical Concerts, Beer Bottle Drives and donations as sources of income. Liz Hugli asked if we could reinstate the Strawberry Supper or Luncheon and it could be held in June or July, perhaps in place of a breakfast event. Patti Waddle suggested a Peach Social on the same lines as the Strawberry event and this could be held in August. John Peterson suggested collection bins (maybe for e waste) could be dropped off once a month for collections. Liz Hugli suggested we have a bin to collect aluminum pop cans. Patti Waddle suggested we work in tandem with the dump by placing a bin for collection there for e waste which could be shared with different charities. This would have to be approved by Council.
Pancake Breakfast – Saturday, May 20, 2023 will be our first Pancake Breakfast Plaques - There are plaques for In Memoriam to recognize those members we have lost. There are plaques for Recognition of Donations from various donors both financial and in support of fundraising functions. It has been decided that starting from the date of this meeting that a donation of $1,000 or more qualifies for a plaque, with the donor’s name, to be placed in the frame. Indoor Yard Sale –Sunday, September 25 at 9:00am to 2:00pm Euchre – New start time for Friday Night Euchre which will now be 7:00pm.
New Business Pancake Breakfasts – We will be experimenting with changing the day for our breakfasts from Saturday to Sunday. Currently the majority of Community activities are being held on Saturday which causes us to compete with them for attendance … so we will try some Sundays and see if there is any change in attendance. If the experiment is successful then we will adopt this new strategy.
Concert - There will be a concert featuring “Men of the Sound” on DECEMBER 10th at 7:00pm at the Hurdville Hall. This will also be a singalong Christmas event.
Grant Applications 3 Trillium Grant App was submitted in August and the final selection will be made public in November. We applied for monies to cover new building siding, new building foundation, a drilled well, and a septic system. Hopefully we will get selected for a grant. Hydro One App – we are investigating submitting an application to Hydro One’s Safety Grant and are applying for a “drilled well” to provide safe drinking water. Reconnect Ontario Grant App – we will be submitting an application for this grant with our building wish list.
Hall Maintenance /Current Jobs- Refurbish Hall Foyer both interior and exterior where needed. We are currently looking for building materials which we could use for the repair and rebuild of the Hall’s foyer. If you have any surplus building materials – we are looking for 2x4’s, plywood sheeting, trim pieces (quarter round), wall board (preferably wood / wainscot or tongue and groove), insulation, metal sheeting, please get in contact with us and we’ll arrange pickup. A few of our material donors are: Herb Lindlahr of Four Winds Resort has donated siding for this portion of the hall. Tanya Shields has door trim. Anthony Monaco has donated a new motion light for the front door. Roof repairs – the back roof still needs repair to fix the damage from the previous winter. Denny is currently on the lookout for a sheet of metal to fix the problem. If you have some or know someone who does please let Denny know. He and John Peterson are working on a safe way to fix the problem.
Water Tank - Denny Hare and John Peterson and cleaning the tank and replacing the water outlet seal and connection so it will be ready for use in the Spring. Paint Kitchen – Julie Hare will schedule for the end of September or early October and will send out a request for Volunteers. Repair/replace quarter round in kitchen – There is quarter round needed at the ceiling as well as at the floor level. This can be scheduled to be done after the painting is done. Siding - Rob Tait is currently investigating siding for the building from the manufacturer. Rob will be providing a list of materials needed for the Hall to a local retailer to see if material can be purchased at a reduced price. Wall Paneling - approval is needed to purchase the tongue and groove pine paneling from Home Building Centre. They have provided an estimate and have offered a discount. A motion was made by Rob Tait to purchase and seconded by Judy Grant.
